Data Input and Cost Distribution Features and Functions

Payroll information drives not just the production of payroll checks but also the distribution of those costs to various departments and activities.

Internet Data Input

The Internet is an ideal vehicle by which employees can access and input information, particularly payroll related information. This question lists some of those functions.

Automatic Commission Calculation

This question is designed to determine what methods of determining commissions are supported. The key to the question is that the information is entered through order entry or accounts receivable and automatically transferred to payroll. If this is not the case, the answer to these questions must be negative.

Benefit Verification

If an employee puts in for vacation, sick leave or any other form of paid time-off, the system should check to make sure that the person has the time accrued, and that they have worked for the company for a sufficient length of time. All of this should be done automatically.

Multiple Destination Cost Assignment

The payroll system for companies that departamentalize must have the ability to assign employee costs to multiple cost centers or general ledger accounts. The most efficient method of accomplishing this is the input of the applicable department or account number for each data entry line.

Automatic Tax Calculation

This question asks whether the payroll module calculates FICA, worker's compensation, and FUTA and SUTA taxes automatically and posts the appropriate liability and expense.

Automatic Deduction Posting

If the system has the ability to calculate employee and employer taxes automatically, it should take the process one step further and post these liabilities to the appropriate liability and expense accounts. Many systems will post the liabilities as liabilities. Truly efficient systems will post the tax liabilities to accounts payable so that the checks can be printed automatically at the appropriate time.
